1. Our Contract

All bookings made with Pedal Taiwan Limited constitute acceptance of these Booking Conditions, which form the entire agreement between parties. Services provided are those referenced in the booking confirmation invoice.

2. Validity

Dates and itineraries are indicative only.

3. Deposit Requirement

A non-refundable deposit of $10,000 NTD per person per trip is required to confirm bookings. Bookings made within 56 days of departure require full payment at booking time. Different deposit amounts apply to selected trips.

4. Acceptance of Booking and Final Payments

Confirmation invoices establish contracts. For bookings within 7 days of departure, the contract forms upon payment acceptance. Payment of the balance of the trip price is due 56 days before the departure date. Unpaid balances by the due date result in cancellation treatment.

5. Prices & Surcharges

Pricing follows variable and seasonal models standard in travel industry practice. Different passengers may pay different prices for identical trips. Your best option if you like the price you see is to book at that time. Quoted prices lock in upon deposit payment prior to quote expiry. Reduced pricing after deposit payment doesn't apply retroactively.

Prices reflect currency exchange rates at time of purchase and vary by booking currency. Surcharges may apply up to 56 days before departure for exchange rate fluctuations, airfare increases, transportation cost rises, local operator cost increases, taxes, or government requirements. The company covers amounts up to 2% of trip price; travelers cover amounts exceeding this threshold.

If any surcharge results in an increase of more than 10% of the trip price you may cancel the booking within 14 days of notification. No surcharges apply to fully-paid bookings during the brochure validity period. Credit card purchases may incur additional surcharges.

6. Your Details

In order for us to confirm your travel arrangements you must provide all requested details with the balance of the trip price. Required information includes passport details, date of birth, nationality, and pre-existing medical conditions. Some trips require Self-Assessment form completion. Missing information may result in additional charges or non-refundable cancellation.

7. Cancellation by the Traveler

Written cancellation confirmation is required. Cancellation fees include:

  • 56+ days prior: deposit retention
  • 31-55 days prior: deposit or 50% total cost retention (whichever exceeds the other)
  • 30 days or less: 100% retention of paid amounts

If you leave a trip for any reason after it has commenced we are not obliged to make any refunds for unused services. No refunds apply for trips not joined, joined after departure, or left before completion.

8. Cancellation by Us

The company may cancel trips anytime before departure. Cancellations due to terrorism, natural disasters, political instability, or external events allow transfer to alternate dates or full refunds. Refunds from external event cancellations are reduced by unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.

9. Booking Amendments

Trip transfers or third-party transfers require 56+ days advance notice. A fee may apply, plus any supplier charges. Transfers within 56 days follow cancellation policy rules. Third-party transfers require transferee trip requirement compliance; alternate departure transfers must occur within current validity period.

Other arrangement amendments may incur administration fees per booking change, plus supplier charges. No amendments permitted within 10 days of departure.

10. Inclusions

Trip prices include:

  • All accommodation as listed in the Trip Brochure
  • All transport listed in the Trip Brochure
  • Sightseeing and meals (excluding evening meal) as listed in the Trip Brochure
  • The services of a group leader as described in the Trip Brochure

11. Exclusions

Trip prices exclude:

  • International or internal flights (unless specified)
  • Airport transfers, taxes, excess baggage charges (unless specified)
  • Non-specified meal costs
  • Visa and passport fees
  • Travel insurance
  • Optional activities and personal expenses

12. Age & Health Requirements

Minimum age is typically 18 at travel time. Travelers under 18 require legal guardian accompaniment or designated escort over 18. The legal guardian or their designee will be responsible for the traveler under the age of 18's day to day care.

The company cannot guarantee triple or adjoining family rooms; accompanying adults may share twin accommodations with other group members. Maximum age carries no universal limit, though trip physical demands require suitable fitness levels. Medical advice consultation at least two months before travel remains traveler responsibility, as the company cannot provide medical expertise.

13. Passport and Visas

Valid passports must remain valid for 6 months beyond trip duration. Travelers must obtain appropriate visas, permits, and certificates. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip. The company bears no responsibility for entry refusals due to inadequate travel documentation.

14. Travel Insurance

Travel insurance is mandatory for all our travelers and should be taken out at the time of booking. Coverage must include personal accident, death, medical expenses, and emergency repatriation with minimum GBP£200,000 recommended per category.

Additional recommended coverage includes cancellation, curtailment, personal liability, and baggage/effects loss. You must provide proof of your travel insurance prior to the commencement of your trip; you will not be able to join the trip without it. Company-arranged insurance satisfaction acknowledgment is required.

15. Flexibility

Travel nature requires considerable flexibility and alternative allowance. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events.

16. Change of Itinerary

The company reserves itinerary alteration rights. Website updates should be checked pre-departure.

Before Departure: Major changes (affecting 5+ days of itinerary) require advance notification when timing permits. Travelers may accept changes, obtain land-portion refunds only, or accept alternative tours.

After Departure: Itinerary changes occur due to external control circumstances. In such emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you. The company disclaims responsibility for incidental expenses from itinerary changes.

17. Authority on Tour

Group trips operate under group leader authority with final safety and well-being decisions. Non-compliance with leader directives or group interference may result in immediate trip removal with no refund. Future trip bookings may be declined. You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited.

18. Acceptance of Risk

You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. Travel destinations present political, cultural, and geographical dangers exceeding daily life risks. The company assesses itinerary viability using government foreign department information and contact reports. Travelers bear individual responsibility for travel information and itinerary nature acquaintance. Participation confirms risk awareness and acceptance.

19. Limitation of Liability

a. Company liability extends to staff/agent negligence causing death, physical injury, or property loss only to applicable law extent. Suppliers providing included services must exercise reasonable skill and care. Liability acceptance follows subsection (c) conditions.

b. The company accepts responsibility for proper contract performance, subject to subsection (c) limitations.

c. No liability applies when failure is attributable to travelers; attributable to unconnected third parties for unforeseeable/unavoidable events; due to unforeseen unusual circumstances beyond control despite due care; or due to political disputes, border closures, visa refusals, industrial action, climate, force majeure, or similar matters.

d. Non-death/injury/illness liability limits to 2x trip price. Damaged property liability equals owner payment amounts. All liability excludes indirect/consequential loss, profit loss, and follows transportation provider contract terms.

e. Air, rail, sea travel and hotel accommodation compensation follow international conventions: Warsaw Convention as amended 1955, Bern Convention 1961, Athens Convention 1974 and Paris Convention 1962.

f. Liability acceptance requires travelers assigning rights against responsible agents, suppliers, or sub-contractors.

g. Flight liability notice follows EU Regulation (EC) No.889/2002.

20. Optional Activities

Optional activities excluded from trip prices form separate contracts between travelers and activity providers. You accept that any assistance given by your group leader or local representative in arranging optional activities does not render us liable for them in any way.

21. Claims & Complaints

Trip complaints should address group leaders or local representatives immediately for rectification attempts. Unresolved complaints require written submission within 30 days of tour completion.

22. Severability

Unenforceable or void terms are severed/amended minimally to preserve remaining binding conditions.

23. Photos and Marketing

You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.

24. Privacy Policy

Collected personal information serves trip operation purposes and marketing communications for events and special offers. Information disclosure to agents, service providers, and suppliers enables trip operation. Details receive treatment per privacy policy.

25. Applicable Law

The laws of the United Kingdom govern these Booking Conditions to the fullest extent allowable. Any disputes in connection with a trip or these Booking Conditions must be initiated in the courts of the United Kingdom.
